Degree and area of specialization:

MS in planning-related field preferred, Bachelor’s Degree required.

Minimum number of years and type of relevant work experience:

-Three years of experience planning and developing international activities in an academic setting
-Experience working with faculty and administrative staff on international travel and logistic arrangements for groups and individuals
-Demonstrated ability to work both independently and collaboratively and to lead and participate in team projects effectively
-Process oriented, with demonstrated effective organizational, planning, and budgeting skills, attention to detail and ability to manage multiple projects and deadlines simultaneously
-Have traveled internationally
-A customer-oriented approach to program development
-Ability to use personal computer and software packages (Acrobat forms, MS Word, Excel)
-Strong organizational skills
-Strong interpersonal skills that promote diversity and inclusion, and the ability to establish good working relationships with a wide range of peopleWell qualified candidates will have:
-Experience with university/state financial and travel policy
-Knowledge of WISDM, e-reimbursement
-Knowledge of FERPA guidelines and implementation in a University setting
-Knowledge and understanding of the culture of a research-intensive university

Principal duties:

Planning Support and Program Development: 50%
-Facilitate credit transfer and enrollment for students participating in study abroad programs by working with the Office of Financial Aid, Office of the Registrar and the Office of the Bursar on current policies and practices
-Develop and organize pre departure orientation and post-return activities for faculty leading study abroad groups
-Develop and organize pre departure orientation and post-return activities for students participating in study abroad programs
-Provide academic support to courses and instructors in CALS IP office: update curriculum, arrange guest lectures, communicate with students, lead discussion
-Develop UW-Madison course equivalencies for foreign courses
-Prepare/update MOUs and Implementing AgreementsTravel Planning and Reimbursement: 30%
-Work with faculty leading study abroad programs to procure in-country logistics for group travel, including but not limited to lodging, transportation, honorariums, excursions, group meals
-Procure travel visas for students
-Supervise and lead the departments e-reimbursement activities, including advising on travel policy, entry into the e-reimbursement system and acting as the department approver

Financial Oversight: 15%
-Work with faculty leading study abroad programs on program planning, budgeting and fee structure
-Prepare yearly update of estimated costs for each program and reconcile cost and payment entries in WISDM

Other Duties: 5%
-International and domestic travel as needed
-Flexible hours with the ability to work nights and weekends
-Staff and participate in meetings
-Arrange programs for international visitors
-Administrative and support activities for the International Programs Office
-Provide for departmental planning and reporting as needed
-Supervise student employees

A criminal background check will be conducted prior to hiring.
A period of evaluation will be required
